What are passes?

3 min read

Every membership tier is a recurring commitment, you pay weekly, quarterly, or monthly and that keeps renewing. Passes are the deliberate exception: a student pays once for a fixed number of class credits, and spends them down at their own pace, with no ongoing charge at all.

The shape of a pass

  1. 1
You create a pass type. A name, a number of credits, a price, and an expiry window in days, e.g. a "5-Class Pass" worth 5 credits for $100, valid for 60 days from purchase. The per-credit rate is calculated live as you type, and locked into each pass at the moment it's purchased, so editing the price later never retroactively changes what an existing pass holder already paid per credit.
  2. 2
A student buys one. Usually a pay-per-class student, since passes are the natural fit for someone who isn't ready for a recurring membership yet.
  3. 3
Each class they attend spends one credit. No separate per-class payment, the credit itself is what pays for that class.
  4. 4
It runs out, or it expires, whichever comes first. Either way, the student needs to buy a new one (or move to a real membership) to keep booking.

Passes are opt-in, not every studio needs them

If your studio doesn't sell passes at all, the Passes link simply doesn't show up in your sidebar, you're not looking at an empty, unused feature by mistake. It only appears once you've created your first pass type.
The Passes admin page listing real pass types: Single Drop-In (1 credit, $28), Casual 3-Pack (3 credits, $75), 5-Class Pass (5 credits, $100, expires 60 days after purchase), and 10-Class Pass (10 credits, $180, expires 90 days after purchase), each with Edit, Duplicate, and Archive buttons
Every pass type your studio sells, with real credit counts, prices, and expiry windows, plus how many students currently hold an active one.
  • Create, edit, or retire a pass type, credits, price, and expiry window are all yours to set.
  • See who currently holds an active pass and how many credits they have left.
  • Retiring a pass type only stops new sales, it doesn't take credits away from someone who already bought one.
Step 1 of 4 of the New Pass wizard, Pass Details, with fields for Pass Name, Credits, Price ($), and Expires After (Days), and a note showing the calculated per-credit rate
Step 1 of the New Pass wizard, Pass Details. The per-credit rate updates live as you type, e.g. 10 credits for $200 works out to $20.00 per credit.

Quick answers

What happens when a student books a class using a pass?
One credit is deducted the moment the booking is made, the same as any other booking flow, just paid for from the pass balance instead of a new charge.
Can a student have more than one pass at once?
Yes, if they buy a second pass before finishing the first, both balances are available, credits are simply drawn down as classes are booked.
Do unused credits carry over if a pass expires?
No, once a pass expires, whatever credits are left on it are gone, this is exactly why the expiry window matters and is worth setting realistically for how often your casual students actually attend.
